Our Western Canada Team is set to launch several exciting new projects in the fall of 2024, providing unique opportunities to engage with high-profile clients and drive transformative initiatives across diverse industries. We are looking to grow our team and have several positions & roles to fill.

ROLE: IT Contract Management Specialist

  **BOTH SUBCONTRACTOR or EMPLOYEE CANDIDATES CAN BE CONSIDERED FOR THIS ROLE **

OVERVIEW:

We are seeking a dynamic and experienced IT Contract Management Specialist to manage program contracts on a complex technology project involving multiple vendors. This will include monitoring the approved terms and conditions, scope of work, Service Level Agreement, deadlines, deliverables, and key milestones, to ensure the successful fulfillment of the contract.

Project risk management is also required to identify, analyze, and respond to any risk and issues that arise over the life cycle of the Program to help the workstreams remain on track and meet their goal. This role will support the Project Manager and the Leadership team as part of the planning process to properly assess any risk that might occur in the Program and how to control that risk if it occurs. Proactive risk mitigation is essential to avoid risks becoming issues. This role is essential for monitoring, categorizing, prioritizing, and planning of risks before they become issues.

**Please note the following:

  • For this opportunity, YOU MUST be legally eligible to work in Canada, holding either Permanent Residency or full Citizenship status.  Sia Partners is unable to cover relocation expenses at this time.
  • If not local to Edmonton and the surrounding area – you must be flexible to travel and willing to work in-office / on client site minimum 3 days per week (hybrid). Travel expenses will be covered.
  • The TARGET START DATE is OCTOBER 2024

Key Responsibilities

  • Monitor all Program contracts ensuring all contract details are adhered to, goals and objectives are met, and identification of any potential breach(es).
  • Prepare contract adherence reports on a periodic basis (to be determined) and ensure it is widely communicated and regularly updated.
  • Carefully analyze the contract(s) to build and drive implementation of any contract/claim management strategy plan(s).
  • Monitor various Program workstream scopes of work and associated deliverables toward contract obligations, including monitoring of project schedules towards achieving contractual milestones.
  • Ensure timely issuance of contractual notices.
  • Collaborate with all Program vendor partners regarding Change Orders driven by scope, schedule, resources, and other changes, in consort with contracted terms and conditions.
  • In collaboration with Program Leadership and Administrative teams, ensure a reliable filing and easy access of correspondence.
  • Develop and produce any Program specific processes and ways of working for contract and claim management.
  • Carefully monitor, record, and notify the Program Leadership team regarding potential contract violations, and manage all elements and supporting documentation for claims/counterclaims negotiations.
  • Understand Program and workstream risks, help identify new risks, track contingencies with risk items that have passed / been realized, and help report risk related details in bi-weekly / monthly reports.
  • Monitor all Program vendor partner requests for variations / change orders / extensions of time. Provide follow-up, as necessary, to drive to transactional closure, including updates to the milestones, and prepare associated correspondence for approval.
  • Provide proactive advice on specific issues, risks, and contractual/claims activities, considering the contract and business objectives.
  • Report on contract management and claims activities to appropriate stakeholders.
  • Anticipate events and risks associated with the contract management activities; propose various counterstrategies and commercial solutions to keep the situation under control.
  • Work closely with the Program Leadership Team to identify and mitigate risks; and to identify, maximize, and leverage claim opportunities.
  • Provide at any time, on management demand, a reliable and understandable contractual and commercial analysis of the Program workstreams/projects.

Qualifications

  • Experience in technology contract management and contract risk compliance.
  • Experience with monitoring contracts and reporting in a complex project / program environment.
  • Certification / accreditation / training in contract management / controls.
  • Experience using contract management software.
  • Experience with energy utilities sector projects will be considered an asset.
  • Experience in risk management standards pertaining to contract management.
  • Experience in Oracle Utilities replacement projects will be considered as asset.
  • Audit certifications and experience such as internal audit will be considered an asset.
  • Demonstrable savings track record along with favorable client references willing to attest to successful outcomes.
